- Qualifications for Eligibility
- Student academic record and university debt status will be reviewed by OSA to determine student eligibility to serve on committees and in leadership positions.
- Once elected, if at any time during the course of his/her term the representative is no longer able to fulfill his/her obligations, he/she must notify the CMSC VP immediately so that a temporary or permanent replacement may be procured.
Attendance at appointed committee meetings is MANDATORY.
- Absences
- All absences must be reported immediately to the CMSC Vice President, prior to missing the meeting.
- Allows time to procure a replacement, if necessary.
- The absence will be deemed excused or unexcused, based on the following guidelines:
- Excused Absences
- Examples- Out of state/ country (i.e., on an away rotation); mandatory school/ clerkship activity (i.e., taking an exam, attending orientation); death of a family member, illness, unforeseen emergency, or other extenuating circumstances
- Requires notifying CMSC VP in advance or ASAP in the case of illness/ emergency
- Unexcused Absences
- Wide variety of reasons students miss meetings that are considered unexcused.
- Encouraged to submit these absences in advance of missing a meeting so that a replacement can attend the meeting, if possible.
- Will be noted on your attendance record as "unexcused, but accounted for" absences.
- Any absence not submitted prior to the meeting, even if it is for one of the reasons stated as excused above, will be considered unexcused.
- Two or more unexcused absences from committee meetings serve as valid grounds for removal from that CMSC committee.
- Attendance
- Minimum attendance at 2/3 of your respective committee's meetings is required in order to be a representative in good standing at the end of the year.
- Even if all of your absences are excused, you may not be considered in good standing if you have not attended at least 2/3 of your committee's meetings.
- Representatives that are not in good standing will not be recommended to OSA to have their position included on their Medical Student Performance Evaluation (Dean's Letter) for residency.
- This may also negatively impact your ability to be a student representative the following year.
- As a courtesy, please also notify your committee secretary and other student representatives on your committee if you will be absent from a given meeting.
- CMSC General Body Meetings: Attendance at CMSC GBMs is encouraged for all representatives. Minimal representation requires attendance of at least one student representative of each committee.
- Each representative must attend at least one general body meeting per semester (the student council meets every month).
- Dialogue With The Deans: Attendance at all Dialogue with the Deans is also encouraged because student representatives are often knowledgeable about the issues that are discussed in these forums.
- Each representative must attend at least one Dialogue with the Deans during the year (generally there are 3-4).
